Create Automated Connections between Pipes with Pipefy and Zapier

Pipe Connections aren’t (or at least they shouldn’t be) news for any Pipefy user, whether he/she’s experienced or is just getting started in the process management world.

Why would I create automated connections?

The most appropriate question on this matter should be “why wouldn’t you want to create automated connections?”. A pipe connection in itself is an essential tool to integrate your company’s processes and make sure all teams and processes are working in sync.

By automating the connections between your pipes you’ll be taking one more step towards being even more efficient and avoiding common mistakes that tend to happen on repetitive tasks.

What is Zapier?

Zapier is a cloud application that allows you to optimize and automate your processes by connecting over 500 webapps.

Each zap (integration) on Zapier consists on a trigger (the activity/situation that sets your zap in motion) and an action (what happens once the trigger is, well, triggered).

How can I integrate Pipefy using Zapier?

Using Zapier to integrate Pipefy with over 500 apps is a lot easier than you think, here’s what you must do:

  1. First things first, you’ll begin by creating your account on Zapier;
  2. Then, whenever you wish to create a new integration you’ll need to connect your Pipefy account on Zapier account (for details on how to connect your Pipefy account to Zapier, click here to check out our knowledge base content).

You can choose to follow our step by step instructions below on how to create the integration for automating your Pipe Connections or easily choose one the pre-designed integration we’ve made available on our Zapier zapbook and specify your details according to the instructions below.

How do I create an automated connection between pipes?

That’s easy! We’ll begin by choosing the apps we’ll use for creating automated the connection. We’ll use Pipefy as both the trigger and the action app, determining for example that whenever a card is marked as done on Pipe A, a new card with the information you specify will be created on Pipe B.

Sounds too good to be truth? Well, it’s not, here’s how you do it:

1 – The first step you’ll take is clicking the button that says “create new zap”.

2- Next step, choose Pipefy as your trigger app.

3 – Then, choose the trigger: you have the option of triggering the action whenever a card is late, expired or overdue, when it’s moved between specific phases (for this one you’ll need to create a filter on the trigger) or when a card is done (when it enters a done phase on your pipe). For logical workflow continuity, we’ll choose the trigger “Card Done”.

4 – Next step is choosing and verifying your Pipefy account to select the pipes you wish to integrate (if you haven’t added your Pipefy account to Zapier yet, check these instructions on how to add your Pipefy account on Zapier).

5 – After you’ve chosen/added your Pipefy account, you’ll determine which pipe should Zapier watch for done cards:

Zapier will then check the pipe you selected for recently created cards to make sure the trigger is working just fine.

6 – We’re done setting up the trigger, now it’s time to move on to the action! It’s time to once again choose Pipefy, this time as the action app.

7 – Choose the available action (Create Card), select your previously added Pipefy account and move on to setting up the card you’ll create.

It’s a lot easier than it seems. Whenever you click on top of a field you wish to specify, a list with all the “done” card’s fields for you to choose from.

You can even mix and match fields and add written information to help with the new cards, just like I did:

See how I wrote down “assignee” in front of the assignee usernames info and “priority” in front of the “what’s the priority” field? That way we’ll have all the necessary information from the previous card on the new cards we create.

Zapier will then proceed to testing your new zap by creating a test card with the specified information and, after we’re done setting it up, all that’s left to do is name the zap and turn it on.
