Agilize faced the challenge of scaling a complex accounting operation during a period of accelerated growth, as they began onboarding roughly 200 new clients every month. Each new company setup involved 37 mandatory steps, creating a massive volume of documents and data that became nearly impossible to manage manually.The use of Excel spreadsheets and emails to control deadlines and status resulted in a lack of visibility and “messy” processes.

Furthermore, the complexity of Brazilian legislation demanded strict compliance. Without the right control tools, there was a constant risk of skipping intermediate steps—not only compromising tax requirements but also creating anxiety for clients who lacked clarity on the progress of their requests.

The solution

The company adopted Pipefy as its central platform to convert spreadsheets into standardized digital processes.

The main onboarding flow was designed to connect all 37 phases, ensuring that the relevant teams were triggered automatically and no compliance steps were overlooked. To address communication bottlenecks, Agilize implemented automations that send regular notifications to clients regarding any pending documents.

In addition, they integrated Pipefy with Google Sheets to create a dedicated timeline, allowing clients to track their progress in real time. This no-code flexibility enabled the team to structure 97 active processes, successfully integrating nearly 100% of the company into the platform.
