The challenge

Founded in 2015 as a fully remote company, Woba faced the operational friction that comes with running a fully distributed business. Until 2019, without a centralized management platform, each team worked on its own stack of tools. That made it hard to standardize how work got done or to keep information flowing across departments and time zones.

The fragmentation created serious gaps in external communication. Broken data flows often led to situations where multiple employees ended up contacting the same coworking partner about the same issue. The lack of visibility into the status of each interaction hurt the company’s image, signaled internal disorganization, and put partner trust at risk.

The solution

To fix the lack of consistency, the IT team created what they called the “Process Workshop,” positioning Pipefy as the central platform for designing and testing workflows quickly. The low-code model let IT deliver the initial structure while giving each business area the autonomy to shape its own processes, without having to wait on IT for every adjustment.

The rollout included integrations with other systems through API, Workato, and Zapier, consolidating data into a single environment. Today, the platform powers the company’s most complex process: the CRM that manages the relationship with coworking spaces. With automation rules and real-time notifications in place, Woba connected its departments and significantly reduced manual intervention in interactions with customers and partners.
